Why (Early) Exhibit Timeline Planning Pays Off
Concepting and constructing award-winning tradeshow exhibits at Condit wouldn’t be possible without a streamlined process that relies heavily on timelines and milestones. Whether your event is in three months or twelve, it’s never too early to start a conversation with our team and set goals for achieving a successful build of your exhibit.
Exhibit design and fabrication timelines are influenced by many factors including approvals, show regulations, freight schedules, and installation requirements. By planning early, you avoid rush fees, limited material and component options, and last-minute compromises.
If timing is tight, a rental or portable exhibit can meet immediate needs while a fully custom exhibit is planned for future shows. Understanding your options early allows you to align goals, budget, and exhibit build time without unnecessary stress.
When it comes to exhibiting, great results take thoughtful planning, expert craftsmanship, and the right timeline to bring everything together!
How Long Does an Exhibit Actually Take to Make?
One of the most common questions we hear is, “How long will it take to create my exhibit?” The short answer is that it depends on the type of exhibit and the scope of work. A better answer is that bringing an exhibit to life requires a multi-phase design, development, and production process.
When planning your tradeshow presence, it helps to think in terms of the total project timeline. From early conversations through design, exhibit craftsmanship, logistics, and shipping, each phase plays an important role in delivering a successful exhibit.
The Three Primary Exhibit Types and Build Timelines
Depending on your goals, total build timeline/budget, and customization across the design and manufacturing phases, Condit generally likes to categorize exhibit projects as one of three primary types: custom purchase, rental, and portable exhibits.
1) Fully Custom Purchase Exhibits
Total timeline: 8 to 12 weeks
Custom exhibits are built specifically for your brand, goals, and footprint. Because they are one of a kind, they take the most time and coordination.
Phase 1: Brand Discovery and Design Goal Setting
The process begins with preliminary discussions to understand objectives, messaging, budget, and show requirements. From there, our team moves into custom exhibit design, including initial concepts, revisions, and approvals. This phase alone can take several weeks as details are refined.
Phase 2: Exhibit Fabrication and Construction
Once design is approved, fabrication and construction begin. This is where exhibit craftsmanship truly comes into play. Structural elements are built, graphics are produced, finishes are applied, and technology is integrated. Custom rentals are especially helpful when time is tight or when you are testing a new show, new market, or new booth size without committing to a full custom purchase.
Phase 3: Preview and Staging
Before your exhibit ships to the show floor, we conduct a full preview and staging at our facility to ensure everything looks and performs exactly as intended. During this phase, the booth is assembled as it would be at showsite. This allows our team and your stakeholders to walk through the space, review details, and address any adjustments in advance. And for added flexibility, previews can also be conducted via live video, giving your team the opportunity to review the exhibit remotely while maintaining full visibility into the final product.
Phase 4: Shipping and Installation
After a successful preview, your exhibit is packed, and prepared for shipping, with logistics carefully planned around show deadlines.
Custom exhibits take longer because every detail is intentional, engineered, and built from scratch. The result is a high impact environment designed to perform for years!
Examples of Custom Exhibits
- OSANO – Technology & Utilities
- Replimune – Healthcare & Medical
- Carbe Diem – Food & Beverage
2) Rental and Custom Rental Exhibits
Total timeline: 6 to 8 weeks
If you’re facing an exhibit deadline but still want a branded, polished presence, a rental or custom rental exhibit can be an excellent option.
Rental exhibits leverage existing structures while allowing for customization through graphics, finishes, lighting, and layout adjustments. Because the core system already exists, design and fabrication timelines are shorter. The exhibit design process still includes planning and revisions, but with fewer construction steps required.
Rental Design and Fabrication Phases
Unlike a custom purchase exhibit, both rentals and custom exhibit rentals can be more flexible in design and construction timing. While individual phases do exist, our team will work with you one-on-one to create a custom timeline for meeting your brand goals and successful project completion prior to your specific tradeshow or event.
Examples of Rental Exhibits
- METTLER TOLEDO – Manufacturing
- Grace Hill – Real Estate & Technology
- Crazy Candy – Food & Beverage
3) Portable Exhibit Kits
Total timeline: 3 to 4 weeks
Portable exhibits are the fastest option and work well for smaller spaces, quick-turn events, or traveling teams. These kits include modular components such as pop ups, banner stands, counters, and lightweight structures.
Portable Kit Timing
Similar to rental exhibits, a specific design and fabrication timeline for portable exhibit kits will be customized by Condit when we work with your team individually.

While individual phases do exist, our team will work with you one-on-one to create a custom timeline for meeting your brand goals and successful project completion prior to your specific tradeshow or event.
Even with a shorter time to build an exhibit booth, there are still key steps involved. Preliminary discussions help select the right kit, followed by graphic design and production. Once graphics are printed, the kit is assembled, packed, and shipped for easy setup.
Examples of Portable Exhibits
- PAR Technology – Food & Beverage
- AC Foods – Food & Beverage
- UCAR/NCAR – Government & Military
